Let's consider a typical scenario to illustrate how this works. Imagine you have a project with several tasks assigned to a client. Suppose you also need to keep track of the growing team of your client, being notified each time a new employee joins their team. Here's where action buttons come into play.

Action buttons can be linked to forms, creating an automated system. Every time your client fills out the form, a task is created and assigned to you, thereby informing you about the new employee.

Creating the Form

To begin with, you need to create a form to collect relevant information. You can do this by navigating to the settings, then selecting the 'forms' option. Click on 'create a new form,' which we'll name the 'New Employee Form' for the sake of this example.

When a new employee is added to the client's team, some essential details that you might want to gather include the first name, last name, email address, and title. Hence, you can add these as required fields in your form.

Setting up the Action Button

Once the form has been set up, the next step involves enabling the form as an action button. We will then create a new action button, providing the text as 'Add New Employee.' This is what the clients will see. Additionally, a prompt is given - 'Please fill out this form for each new employee that you hire,' which instructs the clients on what to do.

Now, you have an action button attached to a form, ready to automate the task creation process for every new employee your client hires.

Implementing the Action Button

After setting up the action button, navigate back to your project list and select the appropriate project, in this case, our test project. Here, you'll have the option to add the action button to this screen. Click on 'Configure Action Buttons,' add the 'New Employee Form,' and subsequently, the 'New Employee' action button. Save your changes.

Now, there's a new task group where details of each new employee will be added. Your client can fill out the information, and upon submission, it automatically gets added to this new group you've created.

Optimizing Task Groups

These task groups can be customized and managed according to your needs. For instance, you can edit task groups to make them private, visible only to your team. Auto-assigning capabilities can also be enabled, allowing tasks to be automatically assigned to certain team members.
